If you need a calendar to share between staff, it should be created as a shared mailbox (or shared calendar). This must be created by IT.

If the calendar needs to be shared to students, we start with the shared calendar, and can set up a linked calendar in SharePoint which they can see. (This must also be set up by IT).


After the shared calendar has been created, here is how to access it:
  • Open Outlook (web or full app)
  • Open your Calendar
  • Click Add calendar
  • Click Add from directory
  • Select your name
  • Search for the calendar
  • Add it to My calendars or Other calendars
  • Click Add
  • You can now see and edit the calendar
If you want to share it to other staff, click the three dots and select Sharing and permissions.

Select who you want to share the calender with, and set their rights (normally Can edit for co-staff and shared calendars).

The People in my organization means "All other staff".

Do not be tempted to add students. It does not normally work, because they need licenses they probably does not have. If you need to share this calendar with students, we have a solution to reflect this calendar into a shared calendar in SharePoint. (Must be set up by IT).
