To keep control of the various Teams and what is being created, we use this order form and approval flow. The name of the Team is autogenerated based on your selections. All teams start with the base name. School teams automatically gets the year as a part of the Team name.
Comments to the request form
Base or ministry.
Should be self explanatory ;-)
This Team is for
School -> The Team name will get the school start date in parantheses at the end.
Internal or External -> Normal Teams. This is currently just an indication for IT who we can expect to be members. Later this will be used to set policies.
School name or Team name
Enter the name you'd like. See examples below.
Track name
The track name will be added to the Team after a hyphen. See examples below.
School start date
If it is a school or not, use this to indicate when the Team will be used. Typically at the start of a school, at the start of a project, or today if this is "just another team".
The fields above will be put together into Team names like this:
Base = GRM, School = FnF, Track = (Blank), Start date = 15.09.2024
Team name will become: GRM FnF (2024)
Base = SKI, School = Ignite, Track = Cover2cover, Start date = 15.09.2024
Team name will become: SKI Ignite - Cover2cover (2024)
Base = SKI, Teamname = Hospitality (not a school, but an internal Team), Track = (Blank), Start date = 15.09.2024
SKI Hospitality
Description
This is a description of what the Team will contain and/or be used for.
Publicity
Private is the normal Team. You decide who gets access.
Public teams can be found by clicking "add", and anyone in YWAM can join the Team.
Duration
This indicates when the Team is no longer needed. For schools, the is normally one year after start date.
After the end date, IT will send a request to delete the Team.
Co-owner
Each Team should have two owners. You will be the first owner, this is the email to the second owner. The address must be to a YWAM staff.
Teams is where we store documents, send messages, keep track of our plans - in short: the core of our daily life.
A Team is limited to the invited members.
Everyone in a Team gets access to the General channel. If you need to limit access, you can create a new private Channel in the Team, and only a subset of the Team members will be able to see that channel.
If you are planning for extensive external collaboration, or don't want people to see what's in the General channel, you probably need a new Team.
